Policies, Terms & Conditions

General Policy

WVC understands the importance of safeguarding your personal information. We are committed to using all commercially reasonable efforts to maintaining the security of your Personal Information. We adopt appropriate data collection, storage, and processing practices and security measures to protect against unauthorized access, alteration, disclosure or destruction of your personal information, username, password, transaction information and data stored on our site. Sensitive and private data exchange between our website and its users happens over a SSL secured communication channel and is encrypted and protected with digital signatures.

We collect information about you in several ways, as you interact with us on our website, our app and on-site during some of our events.  Personally Identifiable Information (PII) is collected voluntarily from you.  If you do not want to provide us with  your PII you may still access these tools and services; however some areas may be restricted.  If you choose to submit content to any public area of the website, your content will be considered “public” and will not be subject to the privacy protections set forward in this policy.

PII includes any information that, either alone or in combination with other information held about you, identifies you as an individual, including, for example, your name, postal address, email address and telephone number. We collect and use your personal data to:

  • provide relevant, personalized, targeted information and educational offerings;
  • help target our marketing messages, including in our email and other communications, so that we are able to continue providing you the best personalized content;
  • operate, maintain, and improve our Services;
  • enable our customer service professionals to respond to your questions, concerns and feedback;
  • manage your subscriptions and purchases to our Products and Services, including communicating with you about them; and
  • send information, including notices, updates, alerts, and support and administrative messages.

We may collect PII from you in a variety of ways, including, but not limited to, when you visit our site, register on the site, place an order, subscribe to our email list, respond to a survey, fill out a form in connection with other activities, services, features or resources we make available on our Site. We may share your PII with third parties to further the purpose for which you provided such information to us, for example, in order to process an order. We also share your PII with third parties if we believe that the law requires us to do, or to protect our own property or the property of our affiliates.

Our Services include an interface that allows you to connect with social networking sites, for example, Facebook, LinkedIn, Twitter, or Instagram (each an “SNS“). If you connect to an SNS through our Services, you authorize us to access, use and store the information that you agreed the SNS could provide to us based on your settings on that SNS. We will access, use and store that information in accordance with this Policy. You can revoke our access to the information you provide in this way at any time by amending the appropriate settings from within your account settings on the applicable SNS. We also may enable you to post content to SNSs. You acknowledge and agree that you are solely responsible for your use of the SNSs and that it is your responsibility to review the terms of use and privacy policy of the third-party provider of such SNSs. We will not be responsible or liable for the availability or accuracy of such SNSs, the content, products or Services on or availability of such SNSs, or your use of any such SNSs.

Certain non-personally identifiable information (“Non-Personal Information”) about our visitors is collected by the standard operation of our Internet servers. Non-personal identification information may include the browser name, the type of computer and technical information about users means of connection to our website, such as the operating system and the Internet service providers utilized and other similar information.

This website makes use of “cookies”, a small amount of data sent to your browser from a web server and stored by your computer. Generally, cookies are used to enable us to deliver better and more personalized service, assist us in tracking visits to the website, and to measure visitor patterns. This information is not personally identifiable and is used by us only to improve the website. We do not use cookies to retrieve personal information from your computer, to retrieve other information from your computer for purposes that are unrelated to the website or your interaction with the website. We reserve the right to disclose or utilize any of this information in aggregate form, for any purpose, at our sole discretion. By modifying your browser preferences, you can accept or reject any or all cookies. If you choose to reject all cookies, you will not be able to access the portions of the website that require you to register in order to participate.

We may use pixel tags (also known as web beacons and clear GIFs) on our Services to track the actions of users on our Services. A pixel tag is a tiny, opaque graphic image, usually no larger than 1 pixel x 1 pixel, which is placed on a website or in an email that is used to monitor the behavior of the user. Pixel tags measure how relevant our newsletter content is to our subscribers, measure the success of our marketing campaigns, and compile statistics about usage of the Services, so that we can manage our content more effectively and provide our readers with more useful content.

We do not sell, trade, or rent your PII to others outside of specifically stated and mutually agreed purposes. We may share generic aggregated demographic information not linked to any personal identification information regarding visitors and users with our business partners, trusted affiliates and advertisers for the purposes outlined above. We may use third party service providers to help us operate our business and the site or administer activities on our behalf, such as distribution of newsletters or surveys. We may share your information with these third parties for those limited purposes provided that you have given us your permission.

We do not release your contact information for outside non-exhibiting commercial use; however, your name, address, phone, fax, and e-mail address will be encoded on your conference badge. Distribution of this information is at your sole discretion during your visits to the Exhibit Hall. Your name and mailing address will be provided to WVC exhibiting companies that are also sponsoring scientific programs or hand-on laboratories. You may opt out from receiving this information or other exhibit show specials and promotions by clicking the appropriate box at the time of registration. Please note that all written inquiries may be sent to 2425 E. Oquendo Rd., Las Vegas, NV, 89120.

If you do not want to receive email or other communications from us in the future, please send an email to us at the address below or call us at the telephone number below requesting to be removed from our mailing list. You will also have the option of clicking on a link included in every email communication you receive from us in order to remove yourself from our mailing list.

Please note that there might be a brief delay between when you submit your request to “opt-out” and when it is processed and reflected in our systems; accordingly, you may continue to receive communications from us for a limited time after you unsubscribe. We appreciate your patience.

WVC’s products and Services are designed for those ages 18 and older. We do not intentionally gather personal data from visitors who are under the age of 13. If a child under 13 submits personal data to us and we learn that the personal data is the information of a child under 13, we will delete the information as soon as reasonably practicable. If a parent or guardian becomes aware that his or her child has provided us with information without their consent, he or she should contact us at (email opt-out contact)

Credit Card Transactions:

Credit card information will be used by the WVC solely as authorized by the sender and will not be used in any other manner or shared with any third party except as needed to conduct the requested transaction. WVC discourages sending credit card information via email.

Ad Servers:

We do not partner with or have special relationships with any ad server companies.

Changes to the WVC General & Online Privacy Notice:

WVC reserves the right to modify its general and online policy at any time as it deems necessary. From time to time, we may use attendee information for new, unanticipated uses not previously disclosed in our privacy notice. Any changes to our existing policy will posted on this site. If you are concerned about how your information is used, please check our Web site periodically. If you feel that this site is not following its stated information policy, you may contact WVC at 702.739.6698.

Advertising Policy

As you browse wvc.org, advertising cookies will be placed on your computer so that we can understand what you are interested in. Our display advertising partner, AdRoll, then enables us to present you with retargeting advertising on other sites based on your previous interaction with wvc.org. The techniques our partners employ do not collect personal information such as your name, email address, postal address or telephone number. You can email us at info@wvc.org to opt out of AdRoll and their partners’ targeted advertising.

Copyright Policy

We use images and video on our blog from many social sharing sites (i.e. Facebook and YouTube). These sites terms of use policies that restrict users from using content that is under copyright. In accordance with the Digital Millennium Copyright Act of 1998, the text of which may be found on the U.S. Copyright Office website at http://www.copyright.gov/legislation/dmca.pdf, we will respond expeditiously to claims of copyright infringement on our site that are reported. If you are a copyright holder, or authorized to act on behalf of one, please report any alleged Copyright infringements by completing the following DMCA Notice of Copyright Infringement and delivering it to WVC’s Designated Agent for Copyright Notice. In your Notice, please:

  1. Include a link to the WVC material which you claim is infringing and which you request be removed or disabled sufficient to permit us to locate the material.
  2. Identify the material which is claimed to have been infringed. If multiple copyrighted works are covered by this Notice, please provide a representative list of such works that you claim have been infringed.
  3. Provide us with the legal name, address, telephone number, and return email address (if available) of yourself as complainant.
  4. State in the body of the complaint that you, as complainant, have a good faith belief that use of the material in the manner complained of is not authorized by the copyright owner, its agent or the law.
  5. State in the body of the complaint that the information you have provided in the Notice is accurate, and under penalty of perjury, you, as complainant, are authorized to act on behalf of the owner of a copyright or an exclusive right that is allegedly infringed.
  6. Sign the Notice under your legal name. Please provide an original or electronic signature.

We also site the source of all of the content we use, so please report the issue to the appropriate distributor as well as it will be more effective to remove your content from where it is being distributed.

Your Rights

Opt out. You may contact us anytime to opt out of: (i) marketing communications; (ii) our collection of PII; (iii) any new processing of your personal data that we may carry out beyond the original purpose. Please note that your use of some of our Website and receipt of our email newsletter services may be ineffective upon opting out.

Access. You may access the personal data we hold about you at any time by contacting us directly.

Amend. You can update or correct any inaccuracies in your personal data. To change such information, follow the link provided in the confirmation email you received upon registering, or visit https://mywvc.wvc.org/account/login and log in with the credentials you provided when you first registered.

Move. Your personal data is portable – i.e. you have the flexibility to move your personal data to other service providers as you wish.

Erase and forget. In certain situations — for example, when the information we hold about you is no longer necessary to provide the Products and Services, is incorrect or you want to withdraw your consent to our holding of your data — you can request that we erase your personal data.

If you wish to exercise any of these rights, please contact us at privacy@wvc.org. In your request, please make clear: (i) what personal data is concerned; and (ii) which of the above rights you would like to exercise. For your protection, we may only implement requests with respect to the personal data associated with the particular email address that you use to send us your request, and we may need to verify your identity before implementing your request. We will try to comply with your request as soon as reasonably practicable and, in any event, within one month of your request. Please note that we may need to retain certain information for recordkeeping purposes and/or to complete any transactions that you began prior to requesting such change or deletion.

General Information

WVC provides comprehensive continuing education to veterinary professionals and related groups. The Association reserves the right to determine attendance and participation by non-veterinarians.

Who can register?

  • Graduate Veterinarians: Graduate veterinarians are welcome to attend the Conference regardless of their licensure status, employment status, or school of graduation. A graduate veterinarian, first-year graduate and retired veterinarian, must register as a veterinarian.
  • Veterinary Technicians, Veterinary Assistants, Practice Managers, and Administrative Staff: Veterinary technicians, veterinary assistants, practice managers and administrative staff are eligible to attend the Conference. Administrative staff must be employed in a veterinary facility. The minimum age for all registrants is 18.
  • DVM Students: U.S. and International students may register online or onsite. Students must present their current school ID to Badge Pickup. Badges will be printed at that time. Note: DVM student registration does not apply to DVM graduates with a residency or internship status.
  • Veterinary Technician Student: (U.S. and Canada): Must be enrolled in an AVMA accredited program. Available to 2nd, 3rd or 4th-year students only. NOTE: Student must provide a letter from Program Director on school letterhead, verifying enrollment. When registering online, letter can be uploaded during the registration process. Once verified by WVC, the registration will be completed and a confirmation will be sent via email. Letter can also be faxed, mailed or emailed, p.mckay@wvc.org. Onsite registration available, with letter.

Cancellation Policy

  • $50 processing fee applies to Conference registration cancellations.
  • $25 processing fee applies to Guest badge cancellations.
  • $75 processing fee applies to all Hands-on Labs. Full refund will be provided if a lab is cancelled by WVC due to inadequate enrollment.
  • Lunch & Learn/Workshops registrations are nonrefundable and nontransferrable.
  • $25 badge replacement fee (replacement is only available onsite).
  • DVM Student and Veterinary Technician Student registrations are nonrefundable.
  • Requests for refunds must be received at the WVC Office in writing (via email/fax/U.S. mail) by February 25, 2018. Requests postmarked after February 25, 2018, will not be processed. No exceptions. All registrations are nontransferable.

Cancellation Policy for Tours and Activities 

  • 90 days or more prior to event – 100% refund
  • 14-89 days from event  – 50% cancellation fee.
  • Less than 14 days from event – non-refundable.

Guest badge policy

Access to Exhibit Hall, social activities, and evening entertainment events. Evening entertainment and entrance to the Exhibit Hall requires a badge. DOES NOT include access to any scientific session. Guests who wish to attend the Scientific Program lectures must purchase an additional badge, registering in the appropriate category. For Onsite Registartion, primary registrant must be present.

Child policy

Children under the age of 18 are complimentary with a registered adult. A child may enter the Exhibit Hall and certain entertainment events if accompanied by a badged adult. Children under the age of 18 are not permitted in any scientific sessions.

Privacy Disclosure

WVC will not release your contact information to outside parties or non-exhibiting companies. As a Conference attendee your image may be captured and used for future promotional purposes.

Attendees with disabilities

The WVC Board of Directors and staff will accommodate, to the extent possible, attendees with ADA special needs. Please contact the WVC office toll-free at 866.800.7326 or 702.739.6698 before December 1, 2016, so we can anticipate and assist with your special needs. Wheelchair and scooter rentals are available at Hotel Bell Desks, on a first come, first served basis. In addition, you can contact Universal Mobility at 800.852.3006, or info@lvscooter.com or the company’s website at lvscooter.com.

Registration Confirmation

  • Online: An email confirmation will be provided at the completion at each registration.
  • Mail or Fax: An email confirmation will be provided; however, if an email address is not provided, a receipt will be mailed the day after receipt of your registration. If you do not receive a receipt, please contact our office at 702.739.6698, toll-free 866.800.7326, or via email at p.mckay@wvc.org.

Badges

  • BADGE ENCODING DISCLOSURE: As a WVC participant, your contact information is automatically encoded into your badge. When the badge is scanned at the Exhibit Hall, the encoding supplies your name, mailing address, email address, telephone number, and fax number, if provided. This badge system replaces a business card and should be protected and should be scanned at your discretion.
  • Badges will be printed onsite, U.S. and International. ID required.

CE Attendance Hours and Certification

WVC is approved as a CE provider by the American Association of Veterinary State Boards Registry of Approved Continuing Education, (AAVSB), Provider #3.

2018 CE Hours

  • Full Conference Registration: up to 57 Veterinary CE hours*
  • Full Conference Registration: up to 45 Veterinary Technician CE hours*
  • Saturday, March 3 – 9 hours
  • Sunday, March 4 – 5 hours
  • Monday, March 5 – 10 hours
  • Tuesday, March 6 – 12 hours
  • Wednesday, March 7 – 10 hours
  • Thursday, March 8 – 8 hours

*Additional hours may be obtained by purchasing Hands-on Labs, Workshops, and Lunch & Learn sessions.

  • 2018 certificates will be available to print online at wvc.org after Conference.
  • Texas CE: To meet the requirements for the State Board of Veterinary Medical Examiners, you must check in at the TX counter near Onsite Registration, your badge will be printed at that time. Before leaving the conference stop by the TX CE counter to sign your CE certificate and take it with you. Due to these state CE requirements, WVC cannot mail your CE certificate; it will not be available to print online.
  • If you are licensed in Texas and did not register with a Texas address, please inform the attendant at the CE Counter, and a certificate will be printed and ready for you when you check out.
  • Mechanisms for certification and documentation of attendance are determined by the policies of individual state boards and are your compliance responsibility.
  • WVC does not currently offer CE credits for self-selected autotutorial sessions or for attending the commercial exhibits. Please check your state for acceptance of these hours.

Terms of Payment

Cancellation and Refund Policy

  • Cancellations received 60 or more calendar days prior to the course start date will receive the course registration fee paid minus a $75 processing fee. Registration fee amount paid can not be applied to another course.
  • Cancellations received 30-59 calendar days prior to the course start date will receive a refund of half of the course registration fee.
  • Cancellations received 29 calendar days or less prior to the course start date will receive no refund or credit.

Participants who leave a course once it begins will not receive a refund or credit. This includes online course study. Participants who fail to show up on time or miss portions of the course will not receive a refund.

Requests for cancellations must be in writing. Email your request to info@wvc.org or fax to 702-739-6420.

WVC reserves the right to cancel courses at any time due to inadequate enrollment. Every effort will be made to notify registrants as early as possible of a course cancellation. A full refund of the course registration fee (including lodging arranged by WVC) will be issued to the registrant in a timely manner. All fees and charges for travel and lodging arranged by the registrant are the sole responsibility of the registrant.

All fees and charges for travel and lodging arranged by the registrant are the sole responsibility of the registrant.

Cancellation by Registrant

Any person wishing to cancel their registration for a WVC Career Building course must make the request in writing by email, fax, or mail 30 days in advance of the course. A $50.00 processing fee will be applied. For your convenience, course registration is transferable to another qualified individual. A request for transfer of registration must be for the same course and must be completed by email at info@wvc.org or by faxing 702739.6420.

Terms of Registration

Room reservation cut-off is July 3rd, 2018.  All individual reservations must be guaranteed by one night deposit with a major credit card.  Cancellations prior to July 3, 2018, are 100% refundable.  Cancellations after July 3, 2018, will be subject to entire length of stay.

Terms of Payment

WVC Destination CE Course fees must be paid in full by mail or fax (702-739-6420) at the time of enrollment. Should you wish to pay by check, please make check payable to Western Veterinary Conference and mail check and registration form to P.O. Box 50755, Henderson, NV 89016.

Cancellation by WVC

WVC reserves the right to cancel courses at any time due to inadequate enrollment. Every effort will be made to notify participants as early as possible of a course cancellation. A full refund of the course registration fee will be issued to the participant in a timely manner.

Hotel cancellation for the Los Suenos Marriott Ocean & Golf Resort is the responsibility of the participant.

Cancellation by Registrant

Any participant wishing to cancel their registration for the Destination CE course must make the request in writing by email, fax, or mail by July 3, 2018. A $275.00 cancellation fee will be applied. Course cancellations after July 3, 2018, are nonrefundable.

Hotel cancellations prior to July 3, 2018, are 100% refundable.  Cancellations after July 3, 2018, will be subject to entire length of stay.

Participants must cancel hotel reservations separately.
